Waipapa Marae Annual General Meeting 2020 Hamilton



Waipapa Marae Trust will hold the Annual General Meeting for Waipapa Marae in Hamilton, 14 November, 2020.  The primary purpose of the AGM is a legal requirement to inform beneficiaries of how the Trust has performed in the previous year; to report on financial accountability; to elect new Trustees and Marae Committee members; to lay out future strategies and make important decisions regarding the marae.  Please note  engineers began testing the drains with a digger this week and Waipapa Marae remains closed in the lead up  to the infrastructure rebuild.  

The agenda will include:  

  1. Ratification of new revised charter from the SGM
  2. Annual Report 2019-2020 & Annual Plan 2020-2021
  3. Audit Financial Statement 2019-2020 
  4. Trustee Elections 2020
  5. Marae Committee Elections 2020
  6. Whakakitenga Elections 2020

Registrations open from 8 am to 9:30 am for those who wish to vote in the elections and the ratification of the Charter. 

Our kaumātua will open the AGM with karakia at 9:30 am followed by the vote to ratify the new revised Charter.   

The trust has considered feedback from beneficiaries about the revised charter, officially tabled at the SGM 29 August 2020.  This was a legal requirement by the Māori Land Court and will require endorsement from beneficiaries at the start of the AGM. 

Given the motion is supported by the majority, the AGM will proceed under the rules and regulations of the new revised version of the Charter.  

Beneficiaries must be 18 years of age to participate in the elections. 

For the Trustee and Marae Committee Elections, beneficiaries must have genealogical links to hapū that constitute Ngāti Hikairo Iwi.  

However, for Te Whakakitenga Elections, voters and nominees must be enrolled on the Waikato Tainui Beneficiary Roll acknowledging Waipapa ki Kāwhia as their principal marae. 

If you wish to vote in any of the elections, you will be required to register when you arrive at the AGM.  Proxy votes only apply to the election for the marae trustees.  (See deadlines below for nominations and proxies.)

Please provide proof of age and tribal affiliation.  A nominated kaumatua / kuia will be onsite to assist with whakapapa if you need help.  Once you’ve ticked both boxes you’ll be issued with voting papers. Your age eligibility is a legal requirement and your whakapapa is a charter requirement. 

If you’re standing for the marae trust, we’d love to let the Iwi know who you are and why you're standing for election.  Please email our Communication Manager with the following information for the Waipapa website and Facebook page.  This only applies to those standing for the marae trust:

  1. A head and shoulders photograph so the iwi can see your stunning Ngāti Hikairo genes.  Remember, a photograph tells a thousand words.
  2.  Written kōrero about your trick skillset telling us how awesome you will be for the trust and why we should vote for you.   Between 200- 400 kupu is the rough guide.
  3. A CV is optional.

This does not apply to those standing for the marae committee or Te Whakakitenga.  

As determined by the charter, the election of the Marae Committee members will occur on the day.  The election for Te Whakakitenga will also take place on the day of the AGM.

The key focus for AGM elections remains with those standing for the Marae Trust and the Marae Committee.   The election for two Te Whakakitenga representatives plus an alternate has been included in the agenda in order to meet a Te Whakakitenga deadline at the end of November.  This means we are requesting pre-nominations for beneficiaries who intend standing for the marae trust.  Opening and closing dates for nominations and proxy votes for trust election nominees are listed below.  Once nominations close for trustee elections, a list of nominees will be published here on the marae website. 

All nomination and proxy forms are posted on the AGM marae website page.  You will need to:

  1. Download the documents
  2. Fill the documents out
  3. Scan the documents
  4. Email all documents to chair@waipapamarae.nz by the set deadlines below

 

KEY DATES & DEADLINES

(1) Nominations and voting by proxy for beneficiaries standing for the trust will open Monday 5 October, 2020.  

     All nominations  for marae trustees and Te Whakakitenga to be emailed to chair@waipapamarae.nz no later than 5pm             Friday 6 November 2020

     All proxies to be emailed to chair@waipapamarae.nz no later than 5pm Monday 9 November, 2020 

     For the Trustee elections we have 9 vacancies for a 3 year term 

     For the Marae elections we have 7 vacancies for a 3 year term

     For Te Whakakitenga elections we have 2 vacancies  plus 1 alternate for a 3 year term

Formal notice will be confirmed in the Waikato Times and Waitomo NewsAdditional announcements will appear on the Waipapa Marae website and FaceBook Page at regular intervals leading up to the 14 November AGM outlining the democratic process for the elections and the legal requirements for disqualification.
